When you upload a document to an online service, that document is transmitted over the internet and processed on a third-party server that you do not control. Firstly, there’s the risk during transmission; while many services use encryption (HTTPS), data breaches are always a possibility. Secondly, once your document is on the service’s server, its privacy depends entirely on that service’s security protocols, data retention policies, and terms of service. Some services might store your documents temporarily, others might retain them for longer, and some might even use the data to improve their OCR algorithms. You are essentially entrusting your sensitive information to an external entity. For these reasons, if your documents contain personal health information (PHI), financial data, trade secrets, legal documents, or any other content that absolutely must remain private, it is always safer to use desktop-based OCR software that processes files locally on your own computer, where you maintain full control over your data.
